PickleCS ("we," "our," or "us") operates the PickleCS platform, an AI-powered Customer Success tool designed for B2B SaaS teams. This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our platform and services.
By using PickleCS, you agree to the collection and use of information in accordance with this policy. If you do not agree with our practices, please do not use the platform.
2. Information We Collect
2.1 Account Information
When you register for PickleCS, we collect your name, email address, and an encrypted password. We also store your workspace name, role, preferred language, and timezone.
2.2 Usage Data
We collect information about how you interact with the platform, including pages visited, features used, and actions taken. This data helps us improve the service and user experience.
2.3 Data from Third-Party Integrations
When you connect third-party services (see Section 4), we access and store data from those services as needed to deliver our features. This may include emails, calendar events, messages, task statuses, and meeting recordings.
2.4 Customer Account Data
You may enter information about your customers into the platform, such as company names, contact details, contract values, renewal dates, health scores, notes, and activity logs.
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the PickleCS platform
- Power AI features such as meeting summaries, email drafting, health score calculations, and agenda generation
- Synchronize data between PickleCS and your connected integrations
- Send notifications, alerts, and reminders related to your account activity
- Improve and personalize your experience on the platform
- Respond to support inquiries and communicate with you
- Comply with legal obligations
4. Third-Party Integrations
PickleCS integrates with several third-party services. When you connect an integration, we access data in accordance with the permissions you grant. Below is a summary of each integration and the data we access:
Gmail (Google)
We use Google OAuth 2.0 to access your Gmail account with your explicit consent. We request access to read emails, send emails on your behalf, read calendar events, and retrieve your email address. Access tokens are encrypted at rest using AES-256-GCM. We only access emails relevant to your managed customer accounts.
Slack
We integrate with Slack to send notifications and receive messages related to your customer accounts. We access channel data and messages only as configured by your workspace administrator.
Microsoft Teams
We connect to Microsoft Teams to deliver notifications and facilitate meeting-related data. Access is limited to the permissions granted during the integration setup.
Notion
We synchronize bug reports, feature requests, and task statuses between PickleCS and your Notion databases. We read and write data to linked Notion pages based on the field mappings you configure.
We enable WhatsApp messaging to communicate with customer contacts. Message content is stored as activity records within your workspace.
Day.ai CRM
We connect to Day.ai to retrieve meeting recording summaries, transcripts, and action items. This data is used to enrich your customer activity timelines within PickleCS.
5. Data Storage and Security
We take the security of your data seriously. Our security measures include:
- Encryption at rest: Sensitive tokens (OAuth access tokens, refresh tokens) are encrypted using AES-256-GCM with unique initialization vectors.
- Encryption in transit: All data transmitted between your browser and our servers uses TLS/HTTPS encryption.
- Infrastructure: Our platform is hosted on Vercel with PostgreSQL database hosting provided by Neon, operating in secure cloud environments.
- Access control: Role-based access control (RBAC) limits data access within your workspace to authorized team members only.
- Authentication: Passwords are hashed using bcrypt. Session management uses JSON Web Tokens (JWT).
6. Cookies and Analytics
We use essential cookies for authentication and session management via NextAuth.js. These cookies are necessary for the platform to function and cannot be disabled.
We use PostHog for product analytics to understand how users interact with the platform. PostHog collects anonymized usage data to help us improve the product experience. You can opt out of analytics tracking in your account settings.
7. Your Rights
If you are located in the European Economic Area (EEA), United Kingdom, or other jurisdictions with data protection laws, you have the following rights:
- Right of Access: You may request a copy of the personal data we hold about you.
- Right to Rectification: You may request correction of inaccurate or incomplete data.
- Right to Erasure: You may request deletion of your personal data, subject to legal retention requirements.
- Right to Data Portability: You may request a machine-readable copy of your data.
- Right to Object: You may object to certain processing of your data, including marketing communications.
- Right to Restrict Processing: You may request that we limit the processing of your data in certain circumstances.

8. Data Retention
We retain your personal data for as long as your account is active or as needed to provide the services. If you delete your account or request data erasure, we will delete your personal data within 30 days, except where retention is required by law.
Activity logs, meeting summaries, and integration data are retained for the duration of your workspace subscription and deleted upon account closure.
9. Children's Privacy
PickleCS is not directed at individuals under the age of 16. We do not knowingly collect personal information from children. If we become aware that a child under 16 has provided us with personal data, we will take steps to delete such information.
10. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. We will notify you of any material changes by posting the updated policy on this page and updating the "Last updated" date.
